Executive Assistant

We have had the honour of working with a number of Canadian, US, and European based pharmaceutical and biotech clients including, Apellis Pharmaceuticals, EMD Serono, Sage Therapeutics, Spark Therapeutics, Alnylam Pharmaceuticals, Arena Pharmaceuticals, Neurogene, Chiesi, Intercept, bluebird bio, Ovid, Jazz Pharma, Flexion Therapeutics, Sobi, Vertex Pharmaceuticals and many others.

We are looking to fill the role of Executive Assistant in our downtown Toronto headquarters. Reporting to our Business Operations Manager, the Executive Assistant is responsible for providing expert administrative and organizational support to the Managing Partners and Business Operations Manager.

To be successful in this role the candidate must possess a high degree of professionalism, exceptional organizational and planning skills, the ability to manage multiple priorities, a keen attention to detail, and the ability to build and maintain effective internal and external relationships.  Specific responsibilities include the following:

  • Provide administrative and project related support, including scheduling meetings, events, interviews, managing calendars, arranging travel, and ordering departmental supplies as needed
  • Preparing presentations and reports relating to administrative and work projects, as needed.
  • Manage and balance expense reporting for the managing partners including personal, travel, and business expenses
  • Manage travel for managing partners including ongoing updates and changes as required
  • Efficiently manage and promptly respond to all incoming enquiries/requests for information independently or re-direct to the appropriate person
  • Occasional meeting setup and catering management for internal and client-related meetings
  • Carry out personal errands for the Managing Partners

Qualifications

The ideal candidate would be someone who takes pride in being an Executive Assistant and wants that role as a professional career. Specific qualifications include the following:

  • Experienced corporate professional with a minimum of 5 years’ experience in a comparative role (deadline-driven corporate environment supporting senior leaders, multiple team members and projects)
  • Demonstrates a professional attitude with a high degree of integrity and diplomacy, strong attention to detail, initiative, sound judgment and confidentiality
  • Confidence and maturity to interact with individuals at various levels internally/externally
  • Resourceful and adaptable; ability to thrive in a variety of situations
  • Strong organizational skills to simultaneously manage multiple projects, tasks and requests, coordinate meetings, events, projects and presentations and reports.
  • Self-motivated and able to work under minimal supervision
  • Proactive, enthusiastic and approachable
  • Excellent interpersonal skills and communication skills (written and verbal)
  • Strong proficiency with Microsoft Office – Word, PowerPoint, Excel and Outlook.
  • Some flexibility to be available outside of normal work

Junior Medical Writer

We are looking for qualified and motivated individuals to join our Scientific Communications team in an entry-level research/writing role – Junior Medical Writer. Role responsibilities include:

  • Conducting robust scientific research and literature reviews
  • Interpreting and synthesizing large amounts of scientific data/literature and communicating it in a client-friendly manner with an easy to follow narrative
  • Supporting the development of key scientific communications documents including – scientific platforms, lexicons, interactive internal training modules for client teams, reports from Advisory Boards, etc.
  • Developing simple scientific/medical graphics to communicate concepts

Qualifications and Skills

  • Able to start working full time within 3 weeks of receiving an offer
  • A comprehensive understanding of the life sciences with the ability to utilize this knowledge across different therapeutic areas. A Masters or higher in Life Sciences is required. (MSc., PhD., PharmD, etc.)
  • Able to analyze and communicate (written and verbal) scientific information across different therapeutic areas at a level of detail for appropriate for the audience
  • Experience in the development of scientific/medical communications for broad audiences. This extends beyond the development of publications that may be geared more to a high science audience
  • Able to work independently and as part of a project team to execute deliverables within stated timelines
  • Proven writing/communication skills with high attention to detail – both in a narrative style for reports as well as PowerPoint presentations
  • Exemplary organization and time management skills
  • Proficiency in MS Office, excellence in PowerPoint
  • Legally able to work in Canada
  • Ability to legally travel outside Canada
